FAQ: Staff and Access Levels

What access levels are available for staff?
ProClinic offers the following roles: Admin, Practitioner, Responsible Doctor, Reception, Marketing, and Booking. There's also an external role with limited access for partners or contractors. Users without calendars (such as admin staff, accountants, or marketers) are free.

Can I restrict access for a temporary staff member?
Yes. You can assign a role with minimal access so the staff member only sees their own calendar and can take payments. Since ProClinic bills per active calendar day, you can deactivate the calendar user during periods they are absent, so you only pay for the days they actually work.

Can I set a pay model for my staff?
Yes. In the staff overview, you can choose between three pay models: hourly plus bonus, fixed monthly salary, and fixed hourly wage. If you need a different setup, please contact ProClinic support.

Can I control which treatments a staff member can perform?
Yes. Go to Staff, edit the staff member, and use the treatments dropdown to set which treatments they perform. You can also assign practitioners from Services: the All Treatments tab, or by editing a service and opening the Treatments tab.

Do I pay for staff who aren't active the whole month?
No. ProClinic bills per day. If you disable a staff member’s calendar or medical record access for a period, you’re only charged for the days that access is active.

Can I see an ongoing overview of what the system costs me?
Yes. Under Billing, you can see your current balance with ProClinic for the ongoing month. You also get a complete overview of all SMS messages sent by the system and their costs.

Do I pay for all users, or only those actually using specific modules?
You only pay for users who need access to the relevant modules. For example, if you have fifteen staff with calendars but only five using the medical records module, you only pay for those five users.

Can I give an external person temporary access to my account?
Yes. You can add an external user under user management in the dashboard, enter their email address, and assign the appropriate access level. You can remove this access whenever it’s no longer needed.
