ProClinic includes a point-of-sale (POS) system for sales and reconciliation, with support for ProClinic Pay (terminal payments). Surfboard Payments is the acquirer and provides payment hardware.
Taking Payment for a Booking
Open a booking (from the calendar or booking details).
Select "Take Payment".
Complete the transaction using your chosen method (including card terminal via ProClinic Pay).
Confirm the sale.
Creating a Sale Directly in Payments
Go to
Payments(/dashboard/payments).Select "Create New Sale".
Add customer, products/services, and select payment method.
Complete the sale.
Walk-in Customers
Walk-in sales are supported, but need to be enabled under Settings → Configuration (/dashboard/settings/configuration).
Once the acceptAnonymousSales setting is enabled, you can register sales without a pre-existing customer booking.
About Surfboard Payments
Surfboard Payments acts as the payment acquirer in the transaction flow.
Surfboard also provides payment terminal hardware for the ProClinic Pay setup.
External Payment Terminal (e.g. Nets)
Clinics that take card payments outside ProClinic — for example with their own Nets terminal, or clinics that only use Surfboard for online payments — can enable the external payment terminal setting. You then no longer have to run the card payment through a Surfboard terminal to complete the sale at checkout.
How to enable it:

What changes at checkout:
The purple card button is replaced with
Paid in external system. You take the payment on your own terminal first, then confirm at checkout.Klarna and the Surfboard terminal selector are hidden.
Cash sales are recorded without a payment terminal.
SMS payment links, Vipps business account, and gift cards work as before. SMS links still require the Surfboard online setup.
Split payments work: enter the cash amount first, then confirm the remaining balance as paid in the external system.
The sale is finalised and the booking is marked as paid exactly as it would be with a terminal payment.
External Payments in Reports
Sales taken in an external system get the payment method External system. It appears in the income report, the electronic journal, on the receipt, and on the sale details in the customer record.
The Z- and X-reports are unaffected by the setting, since they cover the cash and Vipps registers. Settlement for external card payments comes from your own terminal provider, not from the Surfboard payout report.
Registering or Unregistering a Payment Terminal

Which Payment Methods Are Supported at Checkout?
ProClinic Pay supports card payments via the wireless terminal, Klarna (via QR code on the terminal), SMS payment links (clients pay via browser using Apple Pay, Google Pay, Vipps, or card), cash, Vipps business account, and gift cards. American Express is not supported on the terminal. All payment methods have the same transaction fee.
What is ProClinic Pay?
ProClinic Pay is an integrated payment system with a portable, wireless (Android-based) payment terminal. The terminal charges in a stand, but the battery lasts all day for mobility around the clinic. There are no extra fees for gift cards, credit cards, or business cards. Digital receipts are automatically sent to the client.
Do We Need Our Own Klarna Agreement?
No. All clinics using ProClinic Pay get Klarna automatically — no separate sign-up or process needed. Clients scan a QR code on the payment terminal and pay in the Klarna app. The clinic receives the funds the next business day, even if the client chooses delayed payment via Klarna.
Can I Split a Payment Between Cash and Card?
Yes. At checkout, simply enter the cash amount and the remainder will be automatically set as card payment — or choose another payment method for the balance.
Can I Redeem a Gift Card at Checkout?
Yes. When you open a payment in the checkout, you can deduct a gift card before selecting the payment method for any remaining balance.
Can I Send a Payment Link to the Client by SMS?
Yes. In the checkout, choose "SMS Link" as the payment method. The client receives a link and can pay by their preferred method (Vipps, Google Pay, Apple Pay, card, etc.) directly in their browser.
Do We Need to Open and Close the Checkout Manually Each Day?
No. The checkout is handled automatically — it closes at midnight and reopens with the first sale of the next day.
When Does the Clinic Receive Payouts?
Payouts are made every business day for the previous day's transactions. This applies to all payment methods — including Klarna, even when the client chooses delayed payment. The payment provider is Surfboard Payments.
Can I Use the Terminal On the Go?
Yes. ProClinic supports Tap to Pay on iOS and Android through the clinic app. The app is in testing with pilot clinics and is not in the App Store or Google Play yet. It will launch later this year. Until then, use the dashboard in a browser and a physical payment terminal.
Can I Create a Sale Without a Pre-registered Booking?
Yes. You can create a walk-in sale directly in the checkout. The POS can be managed from a PC, front desk computer, or mobile phone.
How Do I Generate a Z-Report?
Go to Reports in your dashboard. You'll find daily reports, the current day's report, the Z-report, and monthly summaries. You can also set the Z-report to be sent automatically to an email address, such as your accountant.
Will I Get a Payout Report From the Payment Provider?
Yes. You receive a daily payout report from ProClinic's payment partner, Surfboard Payments. It's recommended to also have this sent automatically to your accountant.
Does the Payment Terminal Work Without WiFi?
Yes. The payment terminal has a built-in data SIM card, so it works in locations without WiFi access.
Who Handles Transaction Fees?
Transaction fees are managed by the payment provider, not ProClinic. ProClinic negotiates with its payment provider on behalf of clinics to secure the lowest possible fees.
How Does Payment Work for Independent Practitioners Renting Space?
Independent practitioners set up their own payment agreement. They can use the clinic's shared payment terminal, but funds are paid directly into their business account. Commission and internal invoicing between the clinic and practitioner are handled manually at the end of each month.
