FAQ: Client Cards and Customer Management

How do I export email addresses from all customers in the system?
Go to Customers (/dashboard/customers) and click Export. Choose which columns to include (for example email) and which format you want, then export.

What can I store on a client card?
On the client card, you can save: contact details, ongoing dated notes with photos, a free-text comment field for any personal information you want to remember for the next visit, a complete overview of past and upcoming bookings, sales history, and an attached journal with consent forms. Please note that ongoing notes on the client card are not encrypted and are not suitable for medical journaling.

Can I see if a customer has filled out a consent form directly from the client card?
Yes. For treatments that require consent, a consent tab will appear showing the status. You can see if the form is completed, and read the responses directly within the client card.

Can customers view and edit their own information?
Customers can log in to their own ProClinic profile to view their bookings and personal information. Which fields they can edit themselves is controlled by the settings configured by you as an administrator.

Can I block a customer from booking future appointments?
Yes. You can block a customer directly from no-show management, from the client card, or via the Customers overview. Blocking can be undone at any time from the blocked customers list.

Is there a system for following up with customers and leads?
Yes. ProClinic includes a CRM panel for booking consultants and customer follow-up. Here you can keep track of who needs to be contacted and when, and you’ll receive notifications about customers waiting for a call back. Notes from your follow-up are continuously logged.

Can I reactivate customers who haven’t visited in a while?
Yes. You can send an SMS to all customers who haven’t visited the clinic within a chosen number of months and have no upcoming bookings. For example, you can include a gift card as an incentive to book a new appointment.
