The calendar is central to ProClinic. Here you can create and edit bookings, manage working hours, and customize how customers can book online.
You can create a booking in several ways in ProClinic, depending on your workflow.
Option 1: From the Calendar
Go to
Calendarfrom/dashboard.Click the time slot where you want the booking.
Select customer, service, and time.
Save the booking.
Option 2: From Customer Search
Use the search bar at the top of the dashboard.
Choose the customer from the results.
Select the action to create a new booking.
Fill in the booking details and save.
Option 3: From the Customer Panel
Go to
Customers(/dashboard/customers).Open the customer's profile.
Click
Create booking.Select service, time, and save.
Tips
Create a booking directly from the calendar when you already know the time.

Cancellation overview
The overview of who cancelled an appointment is under Bookings, not in the calendar.
Go to
Bookings(/dashboard/bookings).Open the
Cancellationstab (/dashboard/bookings/cancellations).
There you see cancelled appointments, who cancelled (customer or clinic), and the reason.
You can also stay on the Bookings list and filter by status Cancelled.

How to Edit Working Hours
Customers can book when calendars are open and when each staff member (and any resource) has working hours. You control this in two places:
Calendar (
/dashboard): click the clock iconEdit working hourson the right of the calendar button row. That turns on working-hours mode. Use it for quick changes to single days or weeks.Working hours(/dashboard/working-hours): long-term planning and automation, for example weekly hours and automatically opening new calendar days.
This is not edited under Staff.
Change Multiple Days at Once
For long-term planning and automation, go to Working hours (/dashboard/working-hours). Calendar working-hours mode (/dashboard) is for quick changes to single days or weeks.
Resources and Available Times
Resources follow the same working hours logic:
A resource is available only if it has working hours that day
Bookings that require a resource must fit within the resource’s working hours
Services that require both a staff member and a resource must fit both schedules

Where can I see who cancelled an appointment?
The cancellation overview is under Bookings, not in the calendar. Open the Cancellations tab (/dashboard/bookings/cancellations). There you see cancelled appointments, who cancelled (customer or clinic), and the reason. You can also stay on the Bookings list (/dashboard/bookings) and filter by status Cancelled.
What is the ProClinic Dashboard?
The dashboard is the main hub of the system, giving professional users full access to calendar management. Here you can view all staff and resources side by side, manage bookings, clients, staff, settings, and customize the display with compact or expanded layouts.
What Calendar Views Are Available?
The calendar supports day, week, and month views, as well as a timeline view. You can filter by selected staff members and adjust the zoom level for larger or more compact booking cards.
Can I Customize Color Coding in the Calendar?
Yes. You can choose whether bookings are color coded by service or by staff member. Color coding by staff gives a clear overview in week view, while color coding by service highlights which services are booked throughout the day. Booking status (completed, rebooked, etc.) is shown with checkmark indicators—the color itself doesn’t change when a booking is completed.
How Do I Create a New Booking?
Click your desired time in the calendar, select customer, staff member, and service, and confirm. You can also go straight to checkout from a booking without re-entering the info—everything is pre-filled.
Can I Move an Existing Booking?
Yes. You can drag and drop bookings directly in the calendar to a different time. You can also adjust a booking’s length by dragging the edge of the appointment. Alternatively, you can select “Reschedule appointment” from the booking and pick a new time.
What’s the Difference Between Rescheduling and Rebooking?
Rescheduling changes the time of the existing booking. Rebooking creates a new booking for the customer based on the previous one—find the relevant appointment in the calendar, choose “Book again,” and drag the copy to a new time. You can adjust the service, price, and confirmation settings in the same process.
Can I Rebook a Customer Before or After Checkout?
Yes. Rebooking can be done any time—both before and after the customer has been sent to checkout.
Can I See if a Customer Has Been Rebooked Directly in the Calendar?
Yes. The system shows status indicators right on appointments: one checkmark means “completed,” two checkmarks mean “completed and rebooked.”
Can Customers Book Directly From Our Website?
Yes. You can embed a web component on your existing site to display your services. Booking then opens on the ProClinic site in a new tab (iframe embedding is not supported). You can also share a dedicated booking URL on social media, via email, or in ads.
Can Customers Book With a Specific Staff Member?
Yes. After selecting a service, customers can choose a preferred staff member.
Can a Customer Book Multiple Services in One Go?
Yes. With the advanced booking flow, customers can add multiple services and upgrades to the same booking—this applies to both admin-created bookings in the dashboard and self-service online bookings.
What Is a “Self-Service Treatment”?
A self-service treatment allows the customer to operate a device themselves (for example, certain body treatment machines). The customer uses their own time slot for this.
Can I Schedule Overlapping Treatments for the Same Therapist?
Yes. You can place two or more bookings side by side in the calendar for the same staff member—useful if you start a treatment with downtime and want to see another client in the meantime. Note: customers cannot book overlapping times online; only admins can create such parallel bookings.
Can I Control How Far in Advance Customers Can Book?
Yes. Under calendar settings, you can set precisely how far ahead customers can book. You can also enable the calendar to automatically open a new day every night, so there are always future days available.
Can I Require Customers to Confirm Their Booking?
Yes. You can require customers to confirm bookings via a six-digit SMS code. This is especially helpful if you struggle with no-shows or fake bookings. Logged-in customers do not need to confirm again, as their identity is already verified.
What Information Is Collected When a Customer Books?
By default, first name, last name, and phone number are collected. Email address is optional (but can be made mandatory). Date of birth can also be required—this is recommended especially if your clinic uses debt collection services.
How Do I Edit Working Hours for a Staff Member?
Two places: the calendar (/dashboard) in working-hours mode via the clock icon Edit working hours on the right of the button row — for quick day or week changes. Or the Working hours page (/dashboard/working-hours) for long-term plans and automation.
Can I Limit Which Days and Times Are Available for Online Booking?
Yes. Customers can only book when the calendar is open and the staff member (and resource, if any) has working hours. Adjust this in calendar working-hours mode (/dashboard) or under Working hours (/dashboard/working-hours).
Can Staff Members Edit Each Other’s Working Hours?
This is controlled by a setting in the dashboard. You can choose whether all logged-in staff can edit each other's working hours, or limit this to administrators only.
