What access levels are available for staff?
ProClinic offers the following staff roles: Admin, Provider, Responsible Doctor, Reception, Marketing, and Booking. There's also an external user role with limited access intended for partners or collaborators. Users who do not need a calendar (such as admin, accountant, or marketing staff) are free.
Can I limit access for a temporary staff member?
Yes. You can assign a minimal-access role so the staff member can only view their own calendar and accept payments. Since ProClinic bills per day for active calendar use, you can disable their calendar access during periods they're not present, so you only pay for the days they actually work.
Can I set up a salary model for staff?
Yes. In the staff overview, you can choose between three salary models: hourly plus bonus, fixed monthly salary, or fixed hourly wage. If you need a model not available in the system, please contact ProClinic for assistance.
Can I control which treatments an employee can perform?
Yes. Go to Staff, edit the staff member, and use the treatments dropdown to set which treatments they perform. You can also assign practitioners from Services: the All Treatments tab, or by editing a service and opening the Treatments tab.
Do I pay for staff who are not active the whole month?
No. ProClinic charges per active calendar day. If you deactivate an employee's calendar or medical record access for a period, you only pay for the days their access is active.
Can I monitor ongoing costs in the system?
Yes. Under Billing, you can see your current charges to ProClinic for the current month. You also get a complete overview of all SMS messages sent by the system and their associated costs.
Do I pay for all users, or only those actively using certain modules?
You are only billed for users who actually require access to the specific modules. For example, if you have fifteen staff with calendar access but only five using the medical records module, you only pay for those five users.
Can I grant an external person temporary access to my account?
Yes. You can add an external user under user management in the dashboard, enter their email address, and assign the appropriate access level. You can remove their access at any time when it is no longer needed.
