Which payment methods are supported in the cash register?
ProClinic Pay supports card payments via a wireless terminal, Klarna (using a QR code on the terminal), SMS payment link (customers pay in their browser using Apple Pay, Google Pay, Vipps, or card), cash, Vipps business number, and gift cards. American Express is not supported on the terminal. All payment types have the same transaction fee.
What is ProClinic Pay?
ProClinic Pay is an integrated payment solution with a wireless, handheld payment terminal (Android-based). The terminal charges in a dock at the reception desk but has enough battery to be used anywhere in the clinic throughout the day. There are no extra fees for gift cards, credit cards or business cards. Digital receipts are automatically sent to the customer.
Do we need a separate Klarna agreement?
No. All clinics using ProClinic Pay automatically have Klarna enabled – there's no need to apply or go through a separate process. The client scans a QR code on the payment terminal and pays through their Klarna app. The clinic receives the payout the next business day, regardless of whether the customer opts for delayed payment in Klarna.
Can I split a payment between cash and card?
Yes. In the register, enter the amount paid in cash, and the remaining amount will be automatically assigned to card payment — or you can select another payment method for the remainder.
Can I deduct a gift card in the register?
Yes. When you process a payment, you can deduct a gift card before choosing a payment method for the rest.
Can I send a payment link to the customer by SMS?
Yes. In the register, select "SMS Link" as the payment method. The customer will receive a link and can pay using the method of their choice (Vipps, Google Pay, Apple Pay, card, etc.) directly in their browser.
Do we need to manually open and close the register each day?
No. The register is handled automatically — it closes at midnight and reopens automatically with the first sale the next day.
When does the clinic receive payouts?
Payouts occur every business day for sales from the previous day. This applies to all payment methods — including Klarna, even if the customer has chosen delayed payment. The payment provider is Surfboard Payments.
Can I use the terminal on the go?
Yes. ProClinic supports Tap to Pay on iOS and Android through the clinic app. The app is in testing with pilot clinics and is not in the App Store or Google Play yet. It will launch later this year. Until then, use the dashboard in a browser and a physical payment terminal.
Can I create a sale without a pre-registered booking?
Yes. You can create a walk-in sale directly in the register. The cash register can be operated from a PC, reception computer, or mobile phone.
How do I generate a Z-report?
Go to Reports in the dashboard. Here you’ll find daily reports, the current daily report and the Z-report, as well as monthly overviews. You can set the Z-report to be sent automatically to an email address, for example to your accountant.
Will I receive a payout report from the payment provider?
Yes. You'll receive a daily payout report from ProClinic’s payment partner, Surfboard Payments. We recommend setting this up for automatic forwarding to your accountant as well.
Does the payment terminal work without WiFi?
Yes. The payment terminal includes a built-in data SIM card, so it also works in locations without WiFi access.
Who handles the transaction fees?
Transaction fees are managed by the payment provider, not by ProClinic. ProClinic continuously negotiates lower fees with its payment provider on behalf of all clinics.
How does payment work for independent practitioners renting space at our clinic?
Independent practitioners set up their own payment agreements. They can use the clinic’s shared payment terminal, but payments go directly to their own business account. Any commission and internal invoicing are managed manually between the clinic and the practitioner at month end.
How do I register a SoftPOS or physical payment terminal?
Go to Settings → Payments and add the terminal. For SoftPOS, register using the 6-digit PIN from the app. For a physical terminal, you’ll need the PIN from the device plus its serial number. See also the help article “Registering and deregistering a payment terminal”.
Can the clinic remove a physical payment terminal themselves?
No. The clinic can hide the terminal from the register, but deregistering physical hardware with Surfboard must be done by ProClinic. SoftPOS terminals can be deleted by the clinic under Settings → Payments.
Can we use the cash register when we take card payments on a Nets terminal?
Yes. Enable Use external payment terminal under Settings → Payments. The purple card button in the register is then replaced with Paid in external system. You take the payment on your own terminal first, confirm in the register, and the sale is completed and the booking marked as paid as usual.
What happens to the other payment methods when the external payment terminal is enabled?
Klarna and the Surfboard terminal selector are hidden. Cash, SMS payment links, Vipps business number, and gift cards work as before, and a split payment can be finished with Paid in external system for the remaining balance. SMS links still require the Surfboard online setup.
Do we need a payment terminal to record cash sales?
No, not when the external payment terminal is enabled. Cash sales are then recorded without the register requiring a registered Surfboard terminal.
How do external payments appear in reports?
They get the payment method External system and appear in the income report, the electronic journal, on the receipt, and on the sale details in the customer record. The Z- and X-reports are unaffected, since they cover the cash and Vipps registers. Card settlement comes from your own terminal provider.
