What’s the difference between a service and a treatment in ProClinic?
A service is the top-level category that describes an area of treatment (for example, "Fillers" or "HIFU"). Under each service, you’ll find specific treatments, which define the duration, provider, and price (for example, "Lip Filler 0.5 ml" or "HIFU Face").
Where do I find categories, and how do I create a new category?
Categories are not under Settings, and this is not a permissions issue. They are managed by editing a service. Go to Services (/dashboard/services), create or edit a service, and click Manage categories next to the category field. There you can add, edit, and delete categories. Click Add Category to create a new one.
How do I add a treatment from the library?
Go to Services and open the Library tab (/dashboard/services/library). Select the treatments you want to add, then click Add treatments. The treatments are imported into your clinic, and you can edit them afterwards like any other treatment. The library is its own tab under Services — you do not open an individual service to add treatments from the library.
How do I assign a practitioner to a treatment?
There are three ways:
Go to Services and open the All Treatments tab (
/dashboard/services/treatments). The table shows all treatments grouped by service, and which practitioners perform them. If no practitioners are assigned, a warning is shown. Click the warning to add practitioners.Edit a service and open the Treatments tab. The list shows who performs each treatment. Click an existing practitioner, or the warning triangle, to choose who performs the treatment.
Go to Staff, edit a staff member, and use the treatments dropdown to set which treatments they perform.
How do I set up resource management?
Go to Services and open the Resources tab (/dashboard/services/resources). There you create resources and link them to treatments. You can also edit a treatment and open the Resources tab: Services → All Treatments (/dashboard/services/treatments) → edit treatment → Resources. Or Services → edit service → Treatments → edit treatment → Resources.
What can I set per treatment?
For each treatment, you can define the duration, price, buffer time, detailed description, images, assigned staff members, associated consent form, punch card options, available add-ons/upgrades, resources, and any consumables or fixed costs.
How do I remove a consent form from a treatment?
Do not delete the template in Journal. Edit each treatment where you want to remove it: go to Services, edit the service and open the Treatments tab, or go to Services and the All Treatments tab. That table also shows which treatments have a consent form linked. Open the treatment and set the consent form to Consent not needed.
Can I add an FAQ section to a service?
Yes. At the service level, you can create a question-and-answer section that will be displayed to customers on the treatment booking page.
Can customers select add-ons when booking a treatment?
Yes. You can set up optional add-ons for treatments, allowing customers to, for example, add a tint when booking a lash lift. The same add-ons can be reused across multiple treatments.
Can I set a default buffer time for all treatments?
Yes. There is a global system setting for default buffer time. This will be automatically applied to any treatment where you haven’t set a specific value.
Should I change a treatment’s price to apply a discount?
No. Treatment prices are your standard rates and should not be changed just to give a discount. Always use the Campaigns feature to adjust pricing temporarily.
Can I track product and consumable usage per treatment?
Yes. You can link consumables from your product registry to a treatment and specify usage per treatment (e.g., number of milliliters of serum). The system will automatically deduct usage and notify you when it’s time to reorder. Alternatively, you can add a fixed cost per treatment as a simpler solution.
Can I set up long-term treatment plans for a client?
Yes. You can create treatment plans for a client that span multiple sessions, including processes, treatments, and products within the plan.
